Change in ILL will be seen on Workflows

A couple of branches are trying out a new method for keeping track of ILL borrowed items (from outside SEPLSO). There will now be new “Brief Records” in our catalog for these items. They will be added by me (Linda) when an item is shipped to us, and deleted when we send it back.

Although these items will come up in a Workflows title or subject search, they are *not* SEPLSO’s items. Branches can not place holds on them.

The items will look like this in the catalog:

And they will look like this in a patron’s checkout list:

This method allows the borrowing SEPLSO branch to check the item out to their patron using the OCLC Request number (which is the Call # and Item ID in the top example above), thus eliminating the use of “dummy” bar codes and also allowing staff to see the titles of patrons’ ILL items.

    I know that technoloty makes this possible but it just seems way too cumbersome to me. I don’t have time to spend putting in brief records for up to 20 Ills a day. By the time I find the books, reply to the borrower, check out the books, file the record and package the books then stamp them—-that would be the straw that broke my back and my nerves. Then I would have to remove the record as the books are sent back. Plus I really dont’ feel good about putting another librarys books in our catalog. I have my system worked out and think it is much more effective and faster to use. Anyway, that’s my opinion.

    I probably didn’t make it clear in my original post, but I am doing all the entering and deleting of brief records myself at the time the request is filled/returned. All the branch has to do is check the item out a different way.

    Also, branches that borrow via both AutoGraphics and OCLC would not necessarily see an advantage to this since they’d either have some borrows in Workflows and others not (unless we could come up with a way for me to enter their AG borrows). But for those branches that don’t do any AG borrowing, it’s a change but not any added work.

    Other libraries use this method of “brief records” without any major problems, so I thought the advantage of being able to see a patron’s ILL’s by title would make it worth a try for some of our branches.

    I’m sure it will work for some but I prefer to do mine just the way I do them now. I check my borrowed Ills daily and also the ones I have mailed so I can keep up with what is late. It would be helpful if you are entering the brief history for us. I can deal with that but not if I have to put in one for all the other Ills that don’t come through your computer.
